A freeholder, landlord, planning authority and installer answer different questions. A useful pack identifies the exact equipment and physical works without implying that one approval covers the others.
Identify the alteration
Record indoor and outdoor models, proposed positions, fixing method, pipe and cable route, condensate discharge, electrical work and any drilling through shared or external fabric. Include drawings or photographs where requested.
Explain sound and appearance
Use the exact manufacturer's sound evidence with its test context, not a generic brand figure. Show the outdoor unit's dimensions, screening, boundary relationship and maintenance access without claiming that a desktop estimate proves compliance.
Confirm competence and responsibility
State who will survey, design, install, commission and maintain the system. Refrigerant qualifications, insurance, MCS status where relevant and warranty responsibility should be verified independently.
